What are XPS file and how can we create them

The XPS (XML paper specification) files are similar to PDF format files. The XPS format is a format of Microsoft which is a competitor to PDF format. You can view a XPS document using XPS viewer. This article explains how to create XPS files.


What are XPS file and how can we create them


The XPS files ( XML paper specification files) are similar to PDF files with an extension of .xps. The XPS file format is a format of Microsoft which is a competitor to PDF format. It is possible for you to view an XPS document with the help of XPS viewer similar to how we see PDF Files with acrobat reader. Let us see how can we create XPS document.

The XPS is not as popular as PDF but it is being used by some people. There are many advantages with XPS format. It is very easy to create a XPS document from any type of file that supports printing. This functionality is integrated in all the Windows 7 applications.

An XPS file can be created from a file that can be printed. For example we can create an XPS file from a Word document or a power point slide.

  • For creating a XPS file, you just go to the Print menu in the application that you are using and choose 'Microsoft XPS Document Writer' there in the list of printers.
  • Now you will be asked for the location where this file (.xps file) is to be saved. You can give a name to the file and save it when finished.
  • In Microsoft Office 2007 and 2010, you will have an option asking for saving the file as PDF or XPS. Select 'PDF or XPS' in the Save as menu.
  • Now choose the XPS file type as 'Publish as PDF or XPS' and set the new location and file name and click on OK button.


  • That is all, now your file is saved as XPS document with an extension of .xps.
